WhatsApp data handling policy

This policy describes how Wubble, a product of Aquilyn Digital LLP, handles WhatsApp Business data when a business (our client) connects its WhatsApp Business account to the Wubble platform. It supplements our privacy policy and reflects our obligations when integrating with the WhatsApp Business Platform operated by Meta.

1. How Wubble connects to WhatsApp

Clients connect their own WhatsApp Business account to Wubble using Meta's official Embedded Signup flow. The client authorises Wubble to access its WhatsApp Business account through the WhatsApp Business Platform (Cloud API). The client remains the owner of its WhatsApp Business account, phone number and customer relationships at all times, and can revoke Wubble's access from its Meta Business settings.

2. What WhatsApp data we process

Acting on our client's instructions, we process the following data belonging to the client and its customers:

  • Contact information — customer phone numbers, WhatsApp profile names and attributes the client adds (such as tags or notes).
  • Message data — the content of messages sent and received through the client's WhatsApp Business account, including media, and related metadata such as timestamps and delivery status.
  • Template data — the client's message templates and their approval status, synced with Meta.
  • Account data — WhatsApp Business account identifiers, phone number registration details and connection status needed to operate the integration.

3. Why we process it

We process WhatsApp data solely to provide the Wubble service to the client: displaying conversations in the shared inbox, running broadcasts and automations the client configures, maintaining the client's CRM records, and producing usage and billing information. We do not use WhatsApp message content for advertising, we do not sell WhatsApp data, and we do not use one client's data for another client's benefit or for training unrelated systems.

4. Where data flows

  • Between the client and Meta — messages are transmitted through Meta's WhatsApp Business Platform and are subject to Meta's terms, including the WhatsApp Business Terms of Service and Meta's data policies.
  • Within Wubble — data is stored on secured cloud infrastructure used to operate the platform, with access restricted to authorised personnel who need it to run and support the service.
  • Nowhere else — we do not share WhatsApp data with third parties except infrastructure providers bound by confidentiality, or where required by law.

5. Security measures

  • Encryption of data in transit between users, Wubble and Meta.
  • Access controls limiting production data access to authorised personnel.
  • Separation of client workspaces so one client cannot access another's data.
  • Access tokens and credentials for the WhatsApp integration stored securely and rotated or revoked when no longer needed.

6. Retention and deletion

WhatsApp data is retained while the client's account is active so the client can use its conversation history and CRM records. When a client closes its account, or asks us to delete specific data, we delete or anonymise the relevant WhatsApp data within a reasonable period, except for limited records we must keep for legal, tax or accounting reasons. Clients can also disconnect their WhatsApp Business account at any time, which stops further data flowing to Wubble.

7. Client responsibilities

Our clients act as the data controllers for their customers' data. Each client is responsible for:

  • Collecting valid opt-in consent before messaging customers on WhatsApp.
  • Honouring customer opt-out requests promptly.
  • Complying with the WhatsApp Business Messaging Policy, Commerce Policy and applicable law, including Indian data protection law.
  • Responding to their customers' privacy requests; we assist clients in fulfilling verified requests.

8. End users (customers of our clients)

If you are a customer of a business that uses Wubble, that business is responsible for how it communicates with you. To exercise privacy rights over messages you exchanged with a business, contact that business directly. You can also contact us at [email protected] and we will direct your request to the relevant client and assist them in honouring it.

9. Relationship with Meta

Wubble is an independent platform built on the official WhatsApp Cloud API. WhatsApp and Meta are trademarks of Meta Platforms, Inc. Wubble is not endorsed, sponsored or administered by Meta. Meta's own processing of WhatsApp data is governed by Meta's terms and policies, which apply in addition to ours.
